Medway Homestay Terms & Condtions

Without exception

We ask that it is explained to students that they will be staying in a family home and that they respect the family and the rules of the house. We reserve the right to remove students from the host family and not find alternative accommodation where in our opinion behavior of a student is not acceptable. Smoking, drugs and alcohol are not permitted in any of our families homes, if students are found to smoking on the property or within the home without prior consent of the host family, the student will be removed and the accommodation will become the responsibly of the school. Any damage caused by students will need to be reimbursed by the school prior to departure, or by the agent if damage is identified after departure.

Allergies & Food Supplements

We must be informed of all allergies at least 14 days in advance. For serve allergies where the student cannot have traces of the allergen, we must informed at least 8 weeks in advance so we can ensure the student is placed with a family who can manage their allergy. MHS & our families can accept no responsibility for cross contamination with allergens in our homes. If the student's allergy is so severe that cross contamination is an issue we suggest they stay in alternative accommodation.

Disclaimers may be sent for severe allergies on a case by case basis.

Medical Conditions

Any medical or behavioral conditions where the student requires adult supervision or support from the family to manage their conditions will be need to be assessed on a case by case basis as to whether the student can be placed in a host family. If an adult support is coming on the trip with them then they must also stay in the host family and not in alternative accommodation. We will always try to accommodate any medical issues or disabilities however this cannot always be guaranteed.

Arrival/ Departure Times & Unsociable Hours

Our standard arrival time is 19.00 and departure 8.00. The earliest a group can arrive is 18.30.

MHS class unsociable hours as before 7.00 in the morning and past 22.30 at night. If groups wish to leave or arrive before or after these times, they will be liable for a surcharge (please refer price list). For unsociable hours arrivals and departures we require as least 8 weeks notice, please be aware that we will not always be able to accommodate these requirements. For departures pre 7.00, a standard breakfast may not be provided and instead and takeaway alternative will be offered such as a piece of fruit or breakfast bar. For arrivals after 20.30 a hot evening meal will not be provided and instead a light snack such as a sandwich or toast will be given.

Luggage

Students & teachers must only bring one cabin sized bag as luggage, host families do not have space in their cars for large suitcases, if large cases are brought and a taxi has to be called this will be chargeable, alternatively the case will be left on the coach.

Phones & Left items

If phones or any items are left behind we cannot guarantee that we will be able to send these back. It should be noted at since Brexit you are required to pay duty on receipt of the item, from experience last year this is often a lot of money.

Student/ Gender Breakdown

Student/ gender breakdown needs to be received at least 8 weeks prior to the arrival of the group. Once we have sent you the family list there can be no changes to the gender breakdown, this means if a student cancels a girl must be replaced with a girl and/ or a boy must be replaced with a boy.

MHS are happy to accept students of any gender including those transitioning, however we need to be notified prior to us sending you the family list. The students gender should be counted with the gender that they wish be housed with. If the student requires a single room, the single room supplement charge applies.

Cancellation Policy

  • A 10% non-refundable deposit is required when the group confirm.
  • Final balance is required no later than 14 days prior to arrival.
  • If payment is not received 14 days before arrival we reserve the right to cancel the group.
  • Payment in full is required for cancellation of the whole group when cancelling 14 days prior to arrival.
  • 50% payment is required for cancellation of the whole group from 15 to 30 days prior to arrival.
  • Payment in full is required for cancellations of individuals when cancelling up to 30 days pror to arrival.
  • Hotels and activities are booked many weeks in advance of the groups arrival, payment maybe required at the the time of booking and maybe non-refundable.
